JobPilot ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect information about contractors who use our platform ("Contractors") and the end customers who submit service requests through contractor intake forms ("Customers").

1. Information We Collect

For Contractors (Account Holders):

• Business name, email address, and password
• Service type and service area
• Subscription and billing information (processed by Stripe — we do not store card details)
• Dashboard usage data and analytics

For Customers (via Contractor Intake Forms):

• Name, email address, and phone number
• Service request details: type, location, description, urgency
• Submitted request date and IP address hash

Automatically Collected:

• Anonymized page view analytics (hashed IP, session ID, referrer, path)
• Browser user agent (used for bot detection only)

2. How We Use Your Information

We use collected information to:

• Provide, operate, and improve the JobPilot platform
• Process service requests via AI and notify contractors instantly
• Send transactional emails (account setup, job notifications, trial reminders)
• Analyze platform performance and conversion metrics
• Comply with legal obligations

We do not sell personal information to third parties.

3. AI Processing

Customer service requests are processed by OpenAI's GPT-4o-mini model to generate clarifying questions and summaries. Request content is sent to OpenAI's API as part of this processing. OpenAI's data usage policies apply to data transmitted through their API. We route these requests through a privacy-preserving proxy.

4. Data Sharing

We share data only as necessary to provide the Service:

• Stripe — payment processing (governed by Stripe's privacy policy)
• OpenAI — AI processing of service requests
• Email delivery service — transactional email delivery
• Hosting providers — Render (server infrastructure), Neon (database)

We may disclose information when required by law or to protect our legal rights.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Job request data is retained for 24 months. Analytics data is retained for 12 months. You may request deletion of your account data at any time.

6. Security

We implement industry-standard security measures including:

• HTTPS encryption for all data transmission
• Bcrypt password hashing (no plaintext passwords stored)
• IP address hashing (we never store raw IPs)
• Secure session management with 7-day expiration

No system is 100% secure. In the event of a data breach, we will notify affected users as required by applicable law.

7. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate personal data
• Request deletion of your personal data ("right to be forgotten")
• Object to or restrict processing of your data
• Data portability (receive your data in a structured format)
• Opt out of the sale of personal information (we do not sell data)

8. Cookies and Tracking

We use:

• Session cookies — required for authentication (cannot be disabled)
• Analytics session ID — anonymous visitor tracking (polsia_vid cookie)
• Meta Pixel — advertising analytics (Facebook/Instagram). You can opt out via Facebook Ad Settings

9. HVAC and Field Service Industry Data

We understand that HVAC, plumbing, electrical, and other field service businesses often handle sensitive customer information (home addresses, access schedules, equipment details). We treat this information with care and do not use it for any purpose beyond providing the intake management Service.

10. Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it promptly.

11. California Residents (CCPA)

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete, and the right to opt out of the sale of personal information. We do not sell personal information. To submit a CCPA request, email jobpilot-2@polsia.app.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice in the Service. The "Last updated" date at the top reflects the most recent revision.
